Privacy Policy
1. About this policy
Kokoro Collective Pty Ltd (ABN 55 693 411 880) builds software for health, practice and workplace wellbeing. In this policy, “Kokoro Collective”, “we”, “us” and “our” mean Kokoro Collective Pty Ltd.
This policy covers this website and how we handle personal information when you contact us, work with us or apply to join a pilot. Each of our apps has its own privacy policy, which applies when you use that app:
We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
2. Information we collect
When you visit this website
This website does not use cookies, analytics, advertising or tracking tools, and it has no sign-in. Like any website, the servers that deliver it receive technical information with each request, such as your IP address, browser type and the page you asked for. Our hosting provider, Google Firebase, keeps this in short-lived server logs to deliver and secure the site. We do not use these logs to identify you.
The site loads its fonts from Google Fonts, so your browser also connects to Google when a page opens. Google handles that under its own privacy policy.
When you contact us
The contact form does not send anything to us by itself. It opens your own email app with your message ready to send. If you send it, or email us directly, we receive your name, email address, any organisation you mention and whatever you write.
When you work with us
If you are a client, partner, pilot participant, advisor or supplier, we collect the contact and business details we need to work with you, such as your name, role, organisation, email address and phone number.
3. How we use your information
We use your information to:
- reply to your enquiry;
- arrange and run the work, pilot or partnership you have asked about;
- keep business records and meet our legal obligations;
- keep this website working and secure.
We do not sell or rent personal information, and we do not use it for advertising. We will only send you updates or news if you ask for them, and you can stop at any time.
4. Who we share information with
- Service providers that help us run the business, such as our email, website hosting and document storage providers. They may store information outside Australia, including in the United States.
- Professional advisors, such as our accountants and lawyers, where needed.
- Legal reasons: where required by law, court order or a government authority, or to protect someone’s safety.
- Business transfer: if Kokoro Collective is sold or merged, your information may transfer to the new owner, who must keep protecting it under this policy.
5. Security and retention
We protect personal information with access controls, encrypted connections (HTTPS/TLS) and reputable service providers. No system is completely secure, so we cannot guarantee absolute security. If a data breach is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner as required by law.
We keep enquiries and business correspondence for as long as we need them to work with you, and business records for as long as the law requires. After that, we delete them.
6. Your rights and choices
You can ask us to give you a copy of the personal information we hold about you, to correct it, or to delete it. We respond within 30 days and do not charge for requests. We may need to confirm your identity first. You can contact us anonymously or under a pseudonym where practical, but we need a way to reply.
Changes to this policy
We may update this policy as our business or the law changes. The effective date at the top shows the latest version.
